From Paper Registers to Real-Time Operations

The Business

The Sangemarmar, run by SK Cottage Industries under proprietor Mohd Ahmer Khan, is a luxury marble inlay showroom known for parchin kari craftsmanship — the centuries-old art of stone inlay perfected in Agra. Like most showrooms serving tourist traffic, its sales depend on a steady flow of vehicles: drivers, guides, and local agents bring visitors to the showroom, and each of them earns a commission on resulting sales.

That flow — vehicle arrivals, sales, mixed-currency payments, and commission payouts across four different parties — is operationally complex. Before this project, SK Cottage Industries ran all of it on paper.

The Problem

Every stage of the process lived in physical registers:

• Vehicle, driver, guide, and agent details logged by hand at the gate
• Sales recorded separately, with no direct link back to the vehicle that brought the customer in
• Payments accepted in credit card, Indian currency, and foreign currency — often split across modes for a single sale — with no centralized record
• Commission splits for driver, guide, local agent, and company calculated manually for every transaction
• No real-time way to see where a given vehicle or sale stood in the process, and no easy way to audit or report on any of it

Reconciliation was slow. Errors were common. And management had no live visibility into showroom operations — only what could be tallied at the end of the day or month.

The Build

Hive Mind Nestor was engaged to design, build, and deploy an end-to-end digital replacement for the entire paper-based workflow, using Claude Code as the core AI development tool throughout the build.

The resulting system — the Vehicle Entry, Sales & Commission Management System (VTS) — covers the complete operational chain:

• Gate Vehicle Entry: Vehicle, driver, guide, local agent, and company details captured once at arrival, flowing automatically downstream to eliminate duplicate entry
• Sales Management: Gross and net sale values, salesperson, and order type recorded and linked directly to the originating vehicle entry
• Payment Processing: Multi-mode payment capture — credit card, Indian currency, foreign currency — with full support for mixed-mode transactions on a single sale
• Commission Calculation: Automated commission computation for driver, guide, local agent, and company, with authorized manual override and a full audit trail
• Reporting: Filterable reports across sales, commissions, vehicle entries, and payments, exportable to PDF and Excel
• Logistics & Workflow Tracking: Real-time status visibility for every vehicle and transaction from gate entry to completion
• Audit & Access Control: Role-based access for Gate Operator, Sales Staff, Cashier, Manager, and Admin, with full audit logging of critical actions

Technical stack: a NestJS + PostgreSQL backend with a REST API, a Flutter cross-platform mobile app running on both Android and iOS, containerized with Docker and deployed on Railway.

The Result

The Sangemarmar’s showroom now runs on a single centralized system instead of paper registers — with real-time visibility into every vehicle, sale, and commission payout. Vehicle, sales, and payment data that used to live in disconnected registers is now captured once and linked end to end, commission splits across all four parties are calculated automatically with a full audit trail, and reporting that used to take hours is available in seconds.
